Build a Canadian Subscription Renewal Calendar That Actually Prevents Surprise Bills
Annual charges feel like ambushes because the date lived in a receipt, not on a calendar both adults can see. A renewal calendar is a short list of dates with two alarms: one to decide, one to cancel if the decision is no. It does not replace the quarterly audit. It catches the charges the audit will not see until the money has left.
The keep-or-prepay test for each row is the break-even guide. After you cancel, the confirmation belongs in an archive, not in a memory of a phone call.

Capture every annual date: Prime, Adobe, Microsoft 365, domains, cloud, gym
Open the last 12 months of the card, the bank, Apple subscriptions, Google Play, and Amazon memberships. The audit guide lists those six places. Copy only the charges that renew once a year, plus any monthly plan you keep forgetting to end. Each event needs a name, the amount on the last receipt, the biller, and the next date. If the receipt does not show the next date, open the account and read the renewal line. Do not guess from the charge date plus 365 if the plan is “annual billed monthly.” That plan charges every month and may still have an end-of-term fee. Start with the rows that hurt when they surprise you. Amazon Prime is $99 a year or $9.99 a month before tax on the fee page used 24 Sep 2026. Microsoft 365 Personal is $115 a year and Family is $145 a year on the Canada store page fetched 25 Sep 2026. iCloud+ is monthly on Apple’s Canada table published 16 Sep 2026, so the “annual” event is the monthly anniversary if you are deciding whether to downgrade, not a once-a-year price. Google One can be monthly or annual. Read the billing period on the Google One settings page and calendar the end of that period. A domain is a once-a-year charge at the registrar. Write the registrar name. This page does not print a .ca price. The renewal email is the price.
Gym dates are contracts, not just drafts. GoodLife’s corporate-program FAQs describe one month’s notice on many bi-weekly or monthly plans, and paid-in-full as a commitment that runs to its end. Ontario’s gym page says a renewal notice for a covered personal-development contract must arrive at least 30 days, and not more than 90 days, before the one-year end. Put “look for the notice” on the calendar about 90 days before that end, and the cancel deadline on the notice itself. The steps are the Ontario cooling-off guide and the GoodLife guide. A YMCA or a municipal centre is outside that Ontario rule. Use the date on that membership’s own terms.
Set two reminders: 30 days out (decide) and 7 days out (cancel if needed)
One reminder on the morning of the charge is a notification of a purchase you already made. Use two. Thirty days before the renewal, the event says decide. Open the service, check the last 30 days of use, and mark keep, switch to monthly, or cancel. Seven days before, the event says act. If the decision was cancel, cancel that day in the account that bills you. If the decision was keep, the second reminder is a check that the card on file is the one you meant, and that the price still matches the sheet.
Apple’s trial rule, on the trial checklist, is stricter than seven days: cancel at least 24 hours before a trial renews. For those rows, add a third mark at 24 hours only if the seven-day alarm failed. Do not rely on the 24-hour alarm as the plan. Google Play cancellations are in payments and subscriptions, not in deleting the app. Microsoft 365 renews unless you turn off recurring billing in the Microsoft account, which is why the seven-day mark exists on the Family guide.
Name the alarms in plain language. “Prime, decide, $99 before tax” is an alarm you can act on. “Subscription” is an alarm you swipe away. If the calendar tool allows a note, paste the cancel path: Manage Prime Membership, Microsoft account Services and subscriptions, Google One settings, MyRogers or MyBell subscriptions. The note is the procedure. The alarm is the date.
Colour-code must-keep vs flexible vs seasonal
Three colours are enough. Must-keep is the row you will still want after the break-even month and that you used through the last six months: often the household cloud, sometimes Microsoft 365 if two people use it. Flexible is a service you like and can pause without a fee: a monthly streamer, a monthly Prime plan. Seasonal is Disney+, a meal-kit week, a sports add-on, or a gaming pass that has a season. Seasonal stays monthly. The rotation guide is the rule for the video rows. Meal-kit weeks are skipped or cancelled when the promo ends. Whether the kit beats groceries is the food guide, not a reason to paint the kit must-keep.
Colour is a decision aid, not a personality. A must-keep row still gets the 30-day review, because prices change. A seasonal row that has been on for six months of real use can move to flexible, and then to annual only if the prepay test passes. Shared household calendar so partners see the same list
The calendar fails when it lives in one person’s phone. Share a calendar both partners can edit, or a single spreadsheet with the dates copied into that shared calendar. The paying account and the watching account are often different people. If only one of them sees “Adobe in 30 days,” the other will treat the charge as a mistake after it posts.
Use a calendar you already pay for or a free one from the account you both open. A new productivity subscription to track subscriptions is a new row, not a solution. Write the owner of each cancel in the event. “Sam cancels Disney+ in the Disney account, not on the Bell bill” prevents a double effort that cancels nothing. After cancel, move the event to a cancelled archive with confirmation link
Deleting the event when you cancel removes the proof. Move it to a second calendar or a list named Cancelled. Paste the confirmation number, the email link, and the end date. Then watch the card on that end date and one cycle later. A charge after the end date is a follow-up with the confirmation attached, not a new debate about whether you use the service.
Some cancels are not instant. Prime’s end-membership page, used 24 Sep 2026, distinguishes a trial (Do Not Continue) from a paid plan (End Membership). Adobe access can run to the end of the billing period, with a possible fee. GoodLife’s one-month notice, where the agreement requires it, means one more draft. The archive event should say “last draft on this date,” so that draft does not look like a failure. Stopping only the pre-authorized debit does not cancel the amount you owe. If a paused direct subscription can resume when you leave a Rogers or Bell add-on, the archive note has to say so. Cancelling the carrier line is not the same as cancelling Disney+ or Netflix at the source. Check the service account the same day and add a second archive row if the direct plan woke up.
Yearly January audit tied to other bill reviews
January is when property tax instalments, insurance renewals, and holiday subscriptions are all visible. Sit down once. Open the renewal calendar, the card export, and the household subscription sheet. Add any row that appeared since the last quarterly audit. Remove rows whose archive confirmation is more than a year old and whose card has stayed clean. Re-colour anything that became seasonal. This is the same hour as other bill reviews, not a second hobby.
Tie the hour to a number. The cap guide is the ceiling. If the calendar’s must-keep rows already exceed the cap, the January job is to cut, not to colour more rows green. Insurance mid-term cancellation math does not belong in this hour. Insurance dates can sit on the same family calendar so you see them, and the decision stays on the insurance guides.
